Make Every Budget Dollar Count
“Prices are rising! Cut costs wherever possible!” These phrases are all the buzz because of an ever-changing economy and events transitioning back in-person. Finding ways to “do more with less,” is the key. These are five ways to maximize the event planning budget and keep the audience intrigued.
Planning for Now and the Future
Reserve the date and AV requirements on the vendor’s calendar well in advance. This will ensure that they are staffed correctly and have the right equipment available for the day. It will also save on any rush fees for ordering at the last minute. If this is a yearly event, book next year’s date now. ITA appreciates the advanced notice, and it locks in this year’s pricing.
Cover the Basics
Having an adequate number of lights, speakers, and microphones makes a difference. Figuring out how many of each is needed can be difficult. Go Above and Beyond
Once the basics are set, think about the “what else?” What will take the event to the next level, while still staying on budget. Would up-lighting make the room pop? Would extra screens help attendees see the stage better? These are answers your ITA partner will have and they will recommend the best options.
Have a One-Stop-Shop Vendor
There are other audio-visual areas to consider when planning an event. Does the stage/vision need to be created? Will the event be recorded? Will the video need editing Who will do these things? Bundling these options into the quote saves time, money, and stress. ITA offers a variety of pre and postproduction services including 3D stage design, video production, and recording/editing.
A Vendor Becomes a Sponsor
Most nonprofit events have sponsorships available to help offset costs. It doesn’t hurt to ask if a vendor is willing to become a sponsor or discount the AV equipment prices enough that equates to a level. This saves the organization money, and the vendor receives the level recognition benefits. ITA has done this for organizations such as American Heart Association and Light the Night. It’s a win for everyone.
